Utility Readings

Test Smoke Alarms

Take reading at start and end of tenancy and notify relevant utility companies.

Test existing smoke alarms on day tenancy commences and at property visits for no additional charge.

3 visits per year at no additional charge with fully managed service.


Collecting rent, liaising with Housing Benefit, paying contractors and deducting commission and Vat at 20% is included in the commission fee.

Additional Landlord Charges

Full Management Service

10% (plus VAT at 20%) which is equal to 12% of the rent  received, deducted by the Agent.

8 % (plus VAT at 20%) which is equal to 9.6% of the rent received, deducted by the Agent for a second property.

15% (plus VAT at 20%) of the rent received, deducted by the Agent for the management of a HMO.

Tenant Find Service only

£150.00 (plus VAT at 20%) making a total of £180.00 payable for each letting where the tenant is introduced through the agent.


£100.00 if accompanying tenant find only service or for additional properties not managed by PH4L.

Take on Fee

£250.00 plus (VAT at 20% = £50.00) totalling £300.00 payable per property.

£100.00 payable upfront and non- refundable.

Balance deducted from first month’s rent.

Gas Safety Record

£49.00 for gas record only in Plymouth.

£65.00 for gas record and a service in Plymouth.

£60.00 for a gas record only outside of Plymouth.


£50.00 in Plymouth.

£60.00 – £65.00 outside of Plymouth.

Fire Risk Assessment

£30.00 per assessment for a property up to 2 bedrooms.

£35.00 for a 3 bedroom property.

£40.00 for a 4 bedroom property.

£60.00 for a HMO.

Maintenance/Repairs arranged by PH4L

PH4L deduct 8.333% plus VAT at 20% which is equal to 10% from the contractor.


Drawing up and serving of sections £40.00.

Court Attendance

£50.00 per hour.

Solicitor attending court £99.00 per hour incl VAT.

Meeting Bailiffs

£45.00 per hour.

Change of tenants


Early Termination

PH4L require 3 months’ notice in writing from Landlord to terminate contract. Early termination = £250.00 plus Vat at 20% = £300.00 in total.

Tenant Fees

Rent in Advance

One month’s rent is required in advance of the tenancy commencing.


A deposit equivalent to one month’s rent, plus an additional £100 is required for a property of any size. PH4L protect deposits with the DPS, all their information can be found at https://www.depositprotection.com/

Refund of Rent Credit

10% of any rent credit plus VAT at 20% (which totals to 12%) to be deducted from any rent credit, before being repaid to the tenant at the end of tenancy.

Replacement Keys

£5.00 per replacement key or if tenant wishes to take master key and obtain a copy themselves, then a refundable holding deposit of £20.00 is required.
